What is desk sharing and a flexible workplace?
Desk sharing, also known as ‘hot desking’, is a workplace organisation concept that gives employees the freedom to choose where they want to work. This model is often introduced in conjunction with mobile working in order to optimise workplace utilisation and reduce space capacity in the long term. With desk sharing, there are often fewer fixed workstations available, as the flexible workstations can be booked by different people as required.
Can I invite my colleagues and external guests when I book a room?
Integration with a groupware system allows you to invite both internal and external participants to appointments. Internal participants can be invited via the connected address books, while external participants are added by entering their e-mail addresses. In addition, the availability overview of internal participants shows suitable times for scheduling appointments. The responses from the invitees are managed and displayed in the system. If an appointment is postponed, the entry in the calendar of the invitees is automatically updated and they receive an e-mail about the change.
What is meant by ‘resources’ and can several provision times be selected for resources for one appointment?
Resources are all the means required to support meetings, events, etc. These include, for example, technical resources (microphones, projectors, video conferencing systems) or service resources (catering, seating).
Depending on the system configuration, various resources with individual provision times can be defined for a meeting, e.g. coffee at 8 a.m., lunch at 12 noon. If this option is not activated, the start time of the appointment is used by default to provide the booked resources.
What is parking space management and how is the distribution of parking spaces organised in flexible workplaces?
Car park management is the efficient management and allocation of parking spaces in companies that use flexible workplace models. Employees can reserve a parking space in advance using an app or web browser to ensure that there is always a parking space available. Car parks are updated in real time to avoid overcrowding. In addition, specific regulations, such as preferred/fixed parking spaces for certain employee groups or e-vehicles, can be set up to ensure fair and efficient use.
How are hybrid meetings (partly on-site, partly virtual) organised via the system and how are special hardware requirements (e.g. cameras, microphones) automatically taken into account in the room setup?
Hybrid meetings, in which participants take part on site and virtually, are organised seamlessly. Video conferencing technology can be activated automatically when the room is booked in order to integrate physical and virtual participants. The system supports common platforms such as Cisco and Microsoft Teams, provides the necessary technology such as cameras and microphones and ensures that everything runs smoothly. Hardware requirements are automatically taken into account and configured depending on the meeting type and number of participants, so that all technical details are taken care of in the background.
